Booking Terms & Conditions

By booking a tour with TeaTrail Lanka Tours (PVT) Ltd ("we," "our," or "us"), you agree to the following terms and conditions:

Booking Process

• All bookings require a 50% advance payment to confirm reservations.
• The remaining balance must be paid at least 14 days before the tour start date.
• For bookings made within 30 days of departure, full payment is required at the time of booking.
• We accept payments via bank transfer, credit card (Visa/MasterCard), and other approved methods.

• Discount cards at participating Gem Shops & Spice Gardens
• Complimentary welcome drink upon arrival
• Traditional Sri Lankan sweet on departure

It should be noted that all complementary expariences may not be included in all itinaries, please check the detailsed itinary sent by TeaTrail Lanka Tours for the complementary benefits and exclusive benifits aplicable for the itinary

Exclusions

The following items are not included in our standard tour packages unless specifically mentioned:

• Entrance fees to any sights, monuments, or attractions in Sri Lanka
• International or domestic airfare and visa fees
• Early check-in and late checkout charges at hotels
• Tips & porterage (hotel staff, guides, drivers)
• Lunch & any other meals that are not specifically mentioned in the itinerary
• Personal expenses such as laundry, telephone calls, minibar, etc.
• Travel insurance (highly recommended)
• Any services not mentioned in the inclusions section of your specific itinerary

Pricing & Adjustments

Our pricing structure is designed to be transparent and fair:

• All prices are quoted in USD unless otherwise specified.
• Prices are subject to change based on currency fluctuations, fuel surcharges, and government-imposed taxes.
• We reserve the right to adjust prices if costs increase due to factors beyond our control.
• Special offers cannot be combined unless explicitly stated.
• Child discounts apply to children aged 2-12 years sharing a room with adults (specific conditions apply).

Cancellation Policy

We understand that plans may change. Our cancellation policy is designed to be fair while accounting for commitments we make to our suppliers.

Period of Notice	Cancellation Fee
More than 30 days notice	Deposit is forfeited (minus bank charges)
30 - 21 days before departure	50% of tour package cost
21 - 14 days before departure	75% of tour package cost
Less than 14 days/No-shows	100% of tour package cost

All cancellation notices must be received in writing. Refunds will be processed within 14 business days of receiving the cancellation notice.

Travel Documents & Requirements

It is the traveler's responsibility to ensure all travel documents are in order:

• Valid passport with at least 6 months validity beyond the return date
• Appropriate visas for Sri Lanka (we can provide guidance but not responsible for issuance)
• Any required vaccinations or health certificates
• Travel insurance documentation (strongly recommended)

Health & Safety

Your wellbeing is our priority:

• Inform us of any medical conditions, disabilities, or special requirements when booking.
• Some tours may involve activities unsuitable for those with certain health conditions.
• We follow all local health and safety regulations but cannot guarantee against all risks.
• Travelers should consult their physician before undertaking any physically demanding activities.

Changes by Us

While we make every effort to operate tours as planned, we reserve the right to:

• Modify itineraries due to circumstances beyond our control (weather, political unrest, etc.)
• Substitute accommodations with properties of equal or better standard when necessary
• Cancel tours if minimum participation numbers aren't met (with full refund or alternative options)

We will notify you of any significant changes as soon as possible.

Liability

TeaTrail Lanka Tours acts as an intermediary between travelers and various service providers:

• We are not liable for any injury, damage, loss, accident, or delay that may occur during the tour.
• We are not responsible for losses or additional expenses due to circumstances beyond our control.
• Baggage and personal effects are the sole responsibility of the owner at all times.
